Before anyone pays
Confirm the event dates, division, eligibility, game format and cancellation terms with the organizer. Decide who is attending and who is collecting shared costs. Agree what the team fund covers before asking for money.
One roster, one owner
Keep one current list of players, goalies and availability. Record a contact method and emergency information only with consent, share it only where needed, and remove it when it is no longer useful. Name a backup captain.
Write down the real timings
Your team itinerary should show the meeting point, rink address, arrival time, first game and a transport contact. Include the local timezone. Make clear which times are confirmed and which are estimates.
Plan for the unglamorous stuff
Check spare laces, tape, water bottles, first-aid arrangements and a spare light or dark jersey. Know who has the roster, entry confirmation and organizer contact. Confirm who is responsible for the goalie gear.
Close the weekend properly
Reconcile shared costs, return borrowed gear and send the team the final balance. Check on anyone who was injured. Save the useful notes so the next captain does not have to start from scratch.
